Overview
This window allows the user to search for similar valuations within ValuePRO and copy specific data from the previous job into the current job. Depending on your user account, you may see the following three tabs:
1. Copy From Tab
This is the default tab visible to all users on the Copy Valuation Data window after the Copy button on the job card is clicked.
If the Default Copy From Search Fields to Subject Property Address setting is turned on, the address fields in Step 1 will be pre-filled with the address details from the job and perform an automatic search for previous jobs with the same address.
The user can either choose a job from the automatic search or adjust the search criteria in Step 1 and press the Search button to perform another search. The ellipsis button [ ... ] next to the job in the list can be clicked to open the job card to review the data before copying.
Once a job is selected from the result list in Step 2, select the data to copy from the previous job. The copy data options available are:
- Copy Selected Job Data - Selecting this option will copy a select set of data from the previous job to the current job. The select set of fields that would allow data to be copied would be determined by a field setting being enabled. This setting is generally managed by Master Users and fields to copy can be modified using the Fields To Copy Tab;
- Copy Sales Evidence - Selecting this option will copy all the sales evidence attached to the previous job to the current job;
- Copy Photos - Selecting this option will copy all the photos attached to the previous job to the current job;
- Copy Documents - Selecting this option will copy all the documents attached to the previous job to the current job;
- Copy Lease Evidence - Selecting this option will copy all the lease evidence attached to the previous job to the current job;
- Copy Subject Leases - Selecting this option will copy all the subject leases attached to the previous job to the current job;
- Copy Additional Occupancies - Selecting this option will copy all the additional occupancies attached to the previous job to the current job;
- Copy SubObjects - Selecting this option will copy all the sub objects attached to the previous job to the current job.
Once the copy data options are selected, press the Copy button in Step 3 to copy data from the previous job into the current job.
Once the copy has completed, a notes are added to the job history to indicate that data was copied into the job, along with the source of data copied and the user who performed the copy function.
2. Fields To Copy Tab
The Fields To Copy tab (1) is usually only visible for user accounts with Master User account status enabled.
This tab provides the user with a list of all the job card fields with a Allow for Copy checkbox beside it to indicate if the field has been setup to allow data to be copied from the previous job to the current job.
If the Enable Allow For Copy on Fields To Copy setting is turned on, the Allow for Copy checkboxes will be editable on this page and a Save Changes button will be visible at the bottom of the tab to save any modifications to the Allow for Copy checkbox for fields that are allowed to have data copied between jobs.
If the Enable Allow For Copy on Fields To Copy setting is turned off, the Allow for Copy checkboxes will still be visible to provide a quick reference to see which fields are allowed to have data copied between jobs, however the Allow for Copy checkboxes will be disabled to prevent changes and the Save Changes button will not longer appear.
Master Users can still modify the Allow for Copy field setting, however they will need to do so directly on the Field Card (2) of each individual field that they wish to modify.
IMPORTANT NOTE: Although the tab security in each ValuePRO application can be modified and this tab could be made available to accounts with Valuer and Admin status, ValuePRO strongly recommends against this, as multiple users managing the fields that are setup to copy data could result in some un-intended data being copied from a previous job to the current job.
3. Customise Search Tab
The Customise Search tab (2) is usually only visible for user accounts with Master User account status enabled.
This tab provides the user with a list of all the job card fields with a Allow for Search checkbox beside it to indicate if the field has been setup as an additional field to be used in the search for Step 1 on the Copy From tab (1).
Master Users can modify the Allow for Search checkboxes on the tab and press the Save Changes button to commit the changes for all the fields modified.
Alternatively, Master Users can still modify the Allow for Search field setting directly on the Field Card (3) of each individual field that they wish to modify.
IMPORTANT NOTE: The tab security in each ValuePRO application can be modified and this tab could be made available to accounts with Valuer and Admin status, however having multiple users modifying the additional fields to search by could cause inconsistency for other users when attempting to search for suitable jobs to copy data from. It is recommended that only a few users are responsible for maintaining the fields that are available for searching.
