Overview
The Sales Evidence window can only be triggered from the Add Sales button, which is available when the Sales tab is added to a Data Entry Template.
The Sales Evidence window provides the user with a tool to search for existing sales within their ValuePRO application from different sources. The sales returned are sourced from sales manually entered by other valuers within their ValuePRO application or sales automatically imported from RP Data or Price Finder when the job was created.
The availability of sales imported from RP Data or Price Finder depend on the DataLINK settings in the ValuePRO application.
Search Criteria View
By default, the search criteria view section loads in Basic Search mode, however an Advanced Search mode is available to preform a more specific search for properties with a very specific set of features. The search views present users with fields to enter criteria to search for sales in the database.
Basic Search View
The Basic Search view provides the user with the most commonly used search fields to enter criteria to search for sales in the database. Where possible, fields will be pre-filled with relevant information from the job card and a default search run when the search view loads.
The search fields available are:
- Suburb - Provides a field to enter one or more suburbs and will be pre-filled with the suburb value from the job. You can enter multiple suburbs separated by commas. The ellipsis button [ ... ] can be used to bring up a selectable list of all the suburbs within the selected state. This field will only be visible if the Show Suburb setting is turned on.
- State - Provides a select list of state abbreviations to select from and will be pre-filled with the state value from the job.
- Post Code - Provides a field to enter a post code and will be pre-filled with the post code value from the job. A [ > ] button is available next to the post code field which will remove the post code value when clicked.
- Street - Provides a field to enter one or more street names. You can enter multiple streets separated by commas. The ellipsis button [ ... ] can be used to bring up a selectable list of all the streets within the suburbs entered into the suburb field. This allows a user to perform a more specific search for a sale on a particular street.
- Country - Provides a select list of countries to select from and will be pre-filled with the country value from the job. This field will only be visible if the Show Country setting is turned on.
- Price - Provides fields to enter a minimum and maximum sale price value range and a select list of percentage values to adjust the price sensitivity. If the job contains a value in either the Purchase Price field or the field selected in the Job ValueField for Comparing Sales setting (the default field selected is Market Value - Existing), the higher value will be used with the selected price sensitivity to pre-fill the minimum and maximum fields. If the price sensitivity select list is changed, the minimum and maximum field values will change and re-trigger the search.
- Site Area - Provides fields to enter a minimum and maximum site area value range, a select list of size units (either m2 or ha) and a select list of percentage values to adjust the site area sensitivity. If the job contains a value in the Site Area field, this value will be used with the selected site area sensitivity value to pre-fill the minimum and maximum fields. If the site area sensitivity select list is changed, the minimum and maximum field values will change and re-trigger the search.
- Proximity to Subject - Provides a select list of distance values. All jobs entered into ValuePRO are updated with a geo location (latitude and longitude coordinates) of the property. This then allows ValuePRO to perform proximity searches to locate sales properties based on their location. Selecting a value from the select list will re-trigger the search for properties that are located within the distance selected in the proximity selected. If the job does not have a suitable geo location, the select list will not be available and the user will instead see the text Subject Property not accurately located. Users can attempt to force the job to geo code by going to the job card, opening the Address composite field and press the Save button to re-trigger the geo location feature.
- Living Area - Provides fields to enter a minimum and maximum site area value range and a select list of percentage values to adjust the living area sensitivity. If the job contains a value in the Living Areas field, this value will be used with the selected site area sensitivity value to pre-fill the minimum and maximum fields. If the living area select list is changed, the minimum and maximum field values will change and re-trigger the search.
- Date Range - Provides a select list of date range options, however the last option in the list, Custom Date Range, provides the user with two additional date fields to enter a minimum and maximum date range for the search.
- Sort Order - Provides a select list of all the fields that are available on the search page to sort by and a select list of the sort by order available.
- Data Source - Provides a select list of all the sales data sources that are available. The data sources are used to indicate where the sales information was sourced from, whether it was manually entered into the system by a user or imported from PriceFinder or RP Data. The default option is set to All Sources of Data to show all sales, regardless of their source.
- Property Type - Provides a select list of all the property type values.
- Sales Type - Provides a select list of all the sales type values.
- Main Building Type - Provides a select list of all the main building type values.
- Match Options - Provides a select list of search accuracy option values. The default option is set to Exact Matches (fast) and this performs a quick search for sales with the search criteria exactly as it is entered. The second option is Close Matches (Slow) and is used to perform a more detailed search for sales with the search criteria entered, focusing more on returning results that either exactly match the search criteria or are similar to the search criteria. For example, if the Close Match (Slow) option was selected and the user entered a Suburb value of Spring Hill, the search would also return any suburbs that contained the word Spring or Hill.
- Show As - Provides a select list of all the display options available. The display options available are: List, Excel, Map, Photos and Floor Plans. However, if the Enable Export Restriction setting is turned on, the Excel display option is not available.
Advanced Search View
The Advanced Search view provides the user with additional search fields in addition to the fields available in the Basic Search view to enter criteria to search for sales in the database.
When the Advanced button is clicked, 4 select lists with the text - Select an Attribute - and 4 empty fields are displayed to the user. These - Select an Attribute - select lists contain a list of contain a list of fields that have the Allow for Search checkboxes on the Field Card set, however each select list shows a list of fields of a specific data type, in particular:
- This select list only shows number fields. You can select a number field from the list, select a numerical operator to match on and enter a number in the empty field to search for.
- This select list only shows number fields. You can select a number field from the list, select a numerical operator to match on and enter a number in the empty field to search for.
- This select list only shows fields that are not number fields. You can select a field from the list and enter any text in the empty field to search for.
- This select list only shows fields that are not number fields. You can select a field from the list and enter any text in the empty field to search for.
Search Results View
Once the search criteria has been entered and the user presses the Search button, ValuePRO will search for any sales records that match the search criteria and will display them in the Search Results view. The Sale card can be opened by clicking on any sale record in the list of results.
The Search Results page has 4 different views:
The default view is the List View.
List View
The Search Results List view will display the following data for each sale:
- Select checkbox - Ticking this checkbox will indicate to ValuePRO that you wish to use this sale as sales evidence against the job;
- Property Address - Shows the sale address. If the Display Full Address on Sales Comparison setting is turned on, ValuePRO will show the state and postcode information with the street and suburb details. If the setting is turned off, only the street and suburb details are shown in the address column. In addition to this, if the property has been geo-coded, users will also see the distance from the subject property below the sale property address;
- Price - Shows the sale price;
- Sale Date - Shows the sale date;
- Site Area - Shows the site area of the sale property;
- Comments - Shows the comments describing sale property. If the Include Sale checkbox is ticked, the comments section will be displayed as a text box to allow the user to update the sales comment immediately;
- Analysis - Shows the sales analysis comments. This column only appears when the Show Sales Analysis Field on Search Screens setting is turned on;
- Comparison to Subject - Shows the comments comparing the sale property to the job;
- Source - Shows the source of the sale information. If the sale was manually entered by a user, the firms logo will appear, if it was sourced from RP Data or PriceFinder, the appropriate logo will appear;
If the Sales Type value of Commercial was selected in the Search Criteria, these additional fields will also appear in the Search Results view:
- Lettable Area - Shows the living area of the building for the sale property;
- Land psm - Shows the analysed land per square metre value for the sale property;
- Floor psm - Shows the analysed floor per square metre value for the sale property;
- Analysed Yield - Shows the analysed yield value for the sale property;
- Zoning - Shows the zoning value for the sale property;
- Property Type - Shows the property type value for the sale property;
- Space Use - Shows the category value indicating how the space is used for the sale property;
Map View
The Search Results Map view displays a large Google map with the subject property and all the sale properties from the search results plotted on the map.
To view the details of the subject or sale property, hover the mouse over the property icon on the map and a window will pop up with information regarding the valuation or sale. You can click on the link to open the valuation or sale.
Photos View
The Search Results Photo view returns the sale search results in a grid view, where any images attached to the sale are displayed to the user along with the sale address, sale price and sale date details.
There are two additional filters available for the Photo view, these are:
- Photo Filter - There are 3 options available for this filter. Option 1 is With and Without Photos, which shows all the sales, regardless of whether they have a photo or not. Option 2 is With Photos, which only shows sales that have photos. Option 3 is Without Photos, which only shows sales that do not have photos.
- Photo Size - This controls the size of the photos in the grid view. The 3 options available are: Small, Medium and Large.
Floor Plans View
The Search Results Floor Plan view returns the sale search results in a grid view, where any floor plan images attached to the sale are displayed to the user along with the sale address, sale price and sale date details.
There are two additional filters available for the Floor Plan view, these are:
- Floor Plan Filter - There are 3 options available for this filter. Option 1 is With and Without Photos, which shows all the sales, regardless of whether they have a floor plan or not. Option 2 is With Photos, which only shows sales that have floor plan images. Option 3 is Without Photos, which only shows sales that do not have floor plan images.
- Floor Plan Size - This controls the size of the floor plans in the grid view. The 3 options available are: Small, Medium and Large.

This section explains the functions for the buttons available on the Sales Evidence window:

Search
Clicking the Search button will use the criteria entered into the Search Criteria View and display any matching sales records in the Search Results View.
Reset
Clicking the Reset button will return the criteria entered into the Search Criteria View back to the default criteria that was entered when the page loaded.
Hide Criteria/Show Criteria
Clicking the Hide Criteria button will collapse and hide the Search Criteria View. The button will then be renamed to Show Criteria and clicking it again will expand and show the Search Criteria View.
Save Changes
Clicking the Save Changes button in the Search Results View section will save any changes made to the Select checkbox, the Comments field and the Comparison to Subject field for sales that are selected to be included as sales evidence against the job.
Add New Sale
Clicking on the Add New Sale button in the Search Results View section will open an empty Sale card (1) to allow the user to manually enter a new sale into ValuePRO. Once the sale is saved, it will be available for use on the job and also made available to other users in the application.
Select All
Clicking on the Select All button will automatically tick the Select checkboxes for all the sales in the Search Results View.
Un-Select All
Clicking on the Un-Select All button will automatically un-tick the Select checkboxes for all the sales in the Search Results View.
Print Selected Sales
This button is only visible if the Select checkbox is ticked for one or more sales in the Search Results View.
Clicking on the Print Selected Sales button will open the Print Report window and generate a PDF with a list of the sales selected in the Search Results View.
Print All Sales
Clicking on the Print All Sales button will open the Print Report window and generate a PDF with a list of all the sales in the Search Results View, regardless of the Select checkbox.
